Zoho Billing implementation: subscriptions and recurring invoicing

Operion is a Zoho partner and sets up Zoho Billing for SMEs that invoice customers on subscription, per period or by usage. Zoho Billing was formerly called Zoho Subscriptions.

    What it does

    What Zoho Billing does

With Zoho Billing you record products and subscription plans, and the program creates the invoice each period. You can work with fixed amounts, an amount depending on the number of users or based on usage, with trial periods and with changes in the middle of a period.

Customers can pay through a payment provider, and the program sends reminders when a payment fails. In a customer portal, customers see their subscription and invoices.

    Who it is for

    Who Zoho Billing suits

It suits SMEs with recurring revenue: software, maintenance contracts, memberships or monthly services. It fits best when you now copy invoices by hand or track in a spreadsheet what renews when.

If you mostly invoice one-off orders from stock and purchasing, that belongs in your ERP and Zoho Billing is unnecessary. See below.

    Set-up

    Choices in the set-up

These are the choices we make with you during the intake:

    • Products and plans

Which subscriptions you offer and how you build prices, periods and discounts.

    • Invoice moment

When invoices are created and sent, in advance or afterwards.

    • Payments

Which payment methods you offer and what happens when a payment fails.

    • Changing and cancelling

How a customer changes or cancels a plan and how you handle remaining amounts.

    • VAT

How VAT on subscriptions is calculated, including for customers in other countries.

    Connections

    Connections that matter

With Zoho CRM, a won deal starts a subscription directly, and with Zoho Books the invoices reach the accounts. Zoho Billing has no full bookkeeping of its own, so the ledger side always sits in another program.

If you use another accounting program, we look in the intake at how the invoices get there, through an integration or an export.

More about connections with your ERP, WMS and webshop is on integration.

    Good to know

    When Uniconta handles the invoicing

If your accounts and trade run in Uniconta, we first look at whether recurring invoices already fit there. For a small number of fixed contracts, an extra program is often more administration than gain.

Zoho Billing becomes interesting when subscriptions are the heart of your revenue and you need plans, trial periods and payment reminders. How the invoices then reach Uniconta, we decide in the intake.

The licences and current prices of Zoho Billing are on the Zoho pricing page. During the intake we decide which plan fits you.

    Questions

    Frequently asked questions

Is Zoho Billing the same as Zoho Subscriptions?

Yes. Zoho Subscriptions is now called Zoho Billing. It is the same product under a new name.

Can I also invoice my subscriptions from Uniconta?

Often yes, especially with a limited number of fixed contracts. Zoho Billing suits many subscriptions with trial periods and payment reminders better. In the intake we tell you honestly which of the two fits.

Do I still need accounting next to Zoho Billing?

Yes. Zoho Billing handles invoicing, not full bookkeeping. That sits in, for instance, Zoho Books or Uniconta.

Is Zoho Billing part of Zoho One?

Yes, Zoho Billing is included in the Zoho One offer. Which edition and usage come with it is on Zoho's page. You can also take Zoho Billing on its own.

    What happens after go-live?

After go-live you get four weeks of aftercare. After that, you can reach us on working days from 08:30 to 17:00 and we respond within 24 hours.

    Stop invoicing subscriptions by hand?

Tell us which subscriptions you have and how you invoice today. We will tell you whether Zoho Billing fits or whether your ERP already covers it.
